This position will work with the Sylvester Comprehensive Cancer Center (Sylvester) Building Facilities Manager, Research Support Manager, and the Director of Research Support. This position will be responsible for the coordination of facilities, laboratory space, and administrative offices within Sylvester. The incumbent will coordinate moves, building access and facility maintenance issues. This position will be responsible for the preparation of reports, maintaining SCCC contact lists, scheduling shared Sylvester conference rooms, coordinating projects, purchase orders, facility signage and tracking all maintenance and repairs. Specific responsibilities of the position include but are not limited to: Plan and coordinate administrative tasks to include facilitating project logistics such as scheduling meetings, conference rooms, conference calls, equipment, meeting minutes, filing and answering phones. Process purchase orders, invoices and other documents. Conduct walk-through of facilities and spaces regularly to identify potential problems that require improvement and follow through on correcting any issues discovered. Prepare/Submit Work Orders and IDRs for housekeeping, maintenance and repairs for Sylvester research and administration space. Maintain a system for tracking to ensure execution and completion. Provide assistance with renovation and new construction projects including furniture and capital equipment orders. Coordinate faculty and staff moves within Sylvester administration and research facilities. Maintain employee location drawings up to date. Assist team with updating USpace, the university’s space management system. Interact with Security Department - request of entrance access (and follow up until access has been granted) for Sylvester research and administration teams (others as requested). Maintain room, furniture and master keys organized and accessible. Distribute duplicate keys as requested. Order room and furniture keys for end users. Responsible for maintaining storage inventory of Sylvester equipment and furniture. Assist with Property Accounting, annual equipment inventory and routine updates on EZ Inventory. Order office supplies for Facilities, Space Planning and Lab Support team. Manage calendar for shared conference rooms including the Fox 340 conference room. Update staff and faculty emergency contact information list on a quarterly basis or as requested. Assist with new faculty onboarding and purchase of laboratory equipment. Ensure signage in facilities, including directories, room number and informative signs are up to date. Request Security update electronic directories as changes occur. Develop temporary business cards as requested for staff and faculty. Addresses issues that arise. The minimum qualifications are: High School Diploma and one year of relevant work experience. Knowledge reading or drafting architectural drawings is desired. Human Relationships Interfaces with faculty, senior administrative personnel, laboratory staff, physical plant staff, security personnel and sales representatives. Ability to coordinate and prioritize multiple tasks, projects and schedules. Excellent computer skills. Must have excellent written and verbal communication skills and be able to work under minimal direction.
