Key Responsibilities

Describe the key responsibilities & role criteria. More specifically, the job entails:

  • Support Marketing team with all planning and execution of trade shows and events; including, but not limited to scheduling booth space, attendee registrations, hotel accommodations, ordering and overseeing event collateral production, promotional item orders, shipping of all materials and overall logistics for all Company trade shows on a global basis.
  • Reserve booth space and submit all necessary paperwork to ensure company attendance at the event. (Debating whether to keep this or not, since it’s kind of mentioned in first bullet)
  • Maintain event attendee databases and support marketing team efforts for trade show event campaigns including pre and post email marketing activities
  • Monitor and maintain tracking list of action items, deliverables, vendor spends and deadlines as well as ensure on-time completion of tasks leading up into overall event plan.
  • Create and maintain project files for each show.
  • Maintain and update trade show and events calendar and provide regular updates for marketing team and business unit leaders regarding any changes
  • Contribute to trade show post mortems for marketing team and executive leadership regarding budget and ROI for projects and events.
  • Maintain and update inventory of trade show booth materials, projectors, computers, and other display materials.
  • Keep memberships in trade organizations up to date.
  • Administrative support as needed.


  • 1 – 2 years of relevant experience in events, marketing support and/or trade show/event coordination
  • Individual must be PC literate and have the aptitude to learn operation of other computer systems
  • Proficiency in Microsoft applications, with excellent skills in Outlook, Word, Excel and PowerPoint
  • Must have excellent communication, presentation and organizational skills
  • Must have strong work ethic and interpersonal skills
  • Experience with managing a budget is preferred
  • Experience with CRM databases such as Pardot and JiffleNow


  • Ability to manage multiple projects concurrently, meet deadlines and follow-up in a timely manner through solid organizational, planning and multi-tasking skills.
  • Ability to maintain extreme attention to detail
  • Excellent interpersonal skills with the ability to relate well with a variety of levels of the company.
